Capture before paper fades

Photograph paper receipts at purchase and download digital receipts while access is easy.

Name the business reason

Add a short purpose, category and client link without assuming that recording makes a cost allowable.

Treat OCR as a draft

Recognition can swap digits or choose the wrong date. Compare every suggestion with the image.

Run a weekly gap check

Compare receipts with payment activity, find missing documents and back up the files.

Capture before paper fades in practice

A photographer leaves a station with a paper parking receipt, receives a rail receipt by email and buys editing software through an app store. Capturing all three on Friday preserves different forms of evidence. The review also finds that the parking OCR read £18.00 instead of £13.00, which is corrected against the image.

Run a weekly gap check review

A useful weekly review asks whether every cost has a date, supplier, amount, business purpose and readable source document. It also checks refunds, personal portions and client reimbursements separately. Classification should follow current guidance and the person’s circumstances, not merely the category suggested by software.

Create one capture path for paper, email and portal receipts so evidence does not remain scattered across devices. Use filenames or record references that still make sense months later. If a supplier invoice replaces a card slip, connect the stronger document without losing the payment trail. Periodically open stored images to detect unreadable crops or failed uploads. Backups should be tested, not merely enabled, and access should be removed from devices or accounts no longer in use.
