Capture at the job, approve later

A phone is ideal for recording dates, hours, mileage and receipts while details are fresh. Final approval deserves a separate review.

Design entries for a small screen

Use short, meaningful descriptions and save common client details and rates.

Check connectivity boundaries

Confirm that a record reached the server before discarding a paper note or original image.

Share the document, not private context

Send the intended PDF or portal link without copying internal notes into messages.

Capture at the job, approve later in practice

A field engineer records half a day, a mileage note and a photographed receipt before leaving a site with poor reception. They wait for each record to confirm it reached the server, then review the work on a larger screen that evening. Only approved descriptions appear on the invoice sent to the client.

Share the document, not private context review

Mobile speed is useful only when records remain complete. Confirm the selected client, date, quantity, rate, receipt image and sync state before discarding temporary notes. Use a deliberate invoice review for totals, contact details and attachments instead of treating the small-screen entry as final approval.

Plan for interruptions by deciding what must be captured immediately and what can wait for office review. A short voice-independent description, job reference and photograph may be enough on site when the financial classification is uncertain. Avoid entering sensitive client context into general notes simply because the phone is convenient. Before sending, use a stable connection, inspect the generated document, confirm the recipient and retain a server-side record of what was issued.
