Calculator methodology

Invoice balance equals the accepted quote total minus the deposit already paid.

Worked example

A client accepts a £2,400 quote and pays a £600 deposit. The remaining balance is £1,800. The final invoice should identify the accepted scope, show the original amount and deposit clearly, and explain any approved changes rather than presenting £1,800 as an unexplained standalone charge.

Important limitations

This calculator subtracts one deposit from one quote total. It does not calculate staged invoices, tax points, retention, refunds, multiple currencies, scope changes or deposits already allocated elsewhere. Confirm that the quote was accepted, the deposit cleared and both figures use the same tax and currency basis before creating the invoice.

Match the accepted quote reference, deposit receipt and final invoice in your records. Carry the original description and agreed currency onto the invoice, then show the deposit as a separate credit line. This lets the client reconcile the balance and prevents the same deposit being deducted twice.
